Today you might notice things look a little different within Yahoo! Groups as the “forward” button has been removed from the web interface.

(Click on the images to enlarge)

Then:

Now:

This change was made as we recently discovered that this feature was being exploited by spammers as it allowed for spammers to freely enter up to 50 email addresses of their choice, as well as submit new content that may or may not have any relation to the original message from the group.

While we know that the removal of this feature may be frustrating to some, we believe it will also reduce the number of “spammy” messages that are being sent out through the Yahoo! Groups system– which is a big win for all Yahoo! Groups users.

Of course you can still forward a message yourself the old fashioned way by copy/pasting but remember, before you send on a group message, you need to have the “explicit permission of every group member whose content is being re-posted or re-transmitted.” (Review the Yahoo! Groups Guidelines here)

Also included in this release is the return of the audio CAPTCHA (we first blogged about this back in November) — an accessibility feature that makes using Yahoo! Groups much easier for those that are visually impaired. To learn more about CAPTCHA, and how Yahoo tests for accessibility issues, check out this post on our sister blog, Yodel Anecdotal.

UPDATE (11/21: 5:45 pm PST, 11/22 1:45 am GMT): Because of a bug affecting CAPTCHA on non-U.S. groups, we’ve temporarily rolled back to the old CAPTCHA for all groups.

Starting today, you’ll notice a few more changes to Yahoo! Groups. This includes: changes to CAPTCHA, the ability to post from the owner address, and a fix for the problem preventing some users from being able to moderate groups via email. More details can be found below.

CAPTCHA

We know that transcribing and translating the CAPTCHA codes can be difficult. As of today, we’re updating to a new CAPTCHA implementation, which includes the ability to refresh codes you can’t decipher (versus being forced to try and fail), and the option of using an audio CAPTCHA for those who are visually impaired. Not sure what CAPTCHA is? Find out more information here: http://en.wikipedia.org/wiki/Captcha

Posting from the Owner Address

One of the most common requests we get from Moderators is the ability to post messages from the owner address (as opposed to the moderator’s personal address). This feature will now allow moderators to mail to group members using the GROUPNAME-owner@yahoogroups.com address, giving moderators and owners the option to post in a way that clearly delineates them as moderators. Group owners and moderators already have the option of rejecting messages from the owner address, a feature we pushed a few weeks ago.

Moderation by Email

Also in today’s release is a fix for group moderators who were having issues approving pending messages via email. Moderators affected by this issue were using email clients that (in violation of internet standards) do not honor case in reply to addresses, meaning that they would turn upper case letters into lowercase. Since the codes that enable email moderation to work relied on the reply address being the exact sequence of characters we were expecting, email moderation commands did not work for these users. But we have now updated our code in a way that will enable email moderation to work for even these email clients, which should allow moderators to approve pending messages and members via email once again.

As we continue to push out new fixes and releases, we’ll keep you posted!

Many of you regularly provide your suggestions on how to improve Yahoo! Groups here, on the Suggestion Board, and, on the “groups About Groups.” In each of these forums, we’ve noticed that one of the major pain points for you all is the ability (or inability) to easily read and respond to group emails. As a result of this feedback, we’ve made a few changes to group emails effective today.

Grey Sidebar Removed

If you receive individual emails in a group and have your Yahoo! Groups email preferences set to “fully featured” you will notice a change– the grey side bar that normally sits to the right in your email will no longer appear. Instead, the information it provided about recent activity in the group will appear at the bottom of the email.

We’ve removed the sidebar since it sometimes obstructed the content of messages, making it difficult to read group mails on mobile devices or in some web-based email programs. Additionally, the wrapping required to support the sidebar sometimes caused URL’s to break in messages or contributed to “funky” line wrapping. The removal of this box should help to resolve these issues and produce a cleaner look for your Yahoo! Group messages.

Old emails with sidebar:

New emails without sidebar:

“Reply to Group”, “Reply to Sender” Links in Individual Emails

Within each individual email you’ll now find links that allow you to “reply to group” and “reply to sender.” (Previously, these links were only present in the daily digest). These links will hopefully avoid the situation, where someone replies to a message thinking that it will go to just the sender but accidentally sends it to the entire group instead.

[Note: Hitting the “reply” button in your email client (versus using these links), will still work exactly as it did before. The replies will either go to the group or the sender, depending on the default setting for that group. You can tell which just by looking at address the message is going to after you click the reply button.]

Special Notices Delivered Individually

In the past, if a Special Notice was sent to one of your groups and you were set to receive your group messages in Digest format, your Special Notice ends up “lumped in” with the rest of the messages in the digest. As a consequence, members in highly active groups would sometimes miss these notices. Now, Special Notices will be sent out as individual messages, even to users who normally receive message as digests.

But two things to note:

Digest users will also receive the Special Notices in their digest, meaning that they will receive TWO copies of the Special Notice—one as an individual message and one in their Digest. Unfortunately, given the way our system is currently architected, it is prohibitively difficult to remove these messages from the digest.

Users who currently have their email settings set to “individual” messages or “special notices only” will not notice a change.

We hope these changes will improve your experience with email on groups. Thank you to all the folks who have provided suggestions and feedback on these issues.

Back in April, the ability to edit your membership information within a group was frozen as a result of changes to the profiles system on Yahoo! (See screenshot* below for clarification) Prior to April, you were able to edit the information that displayed in black beneath your name within the Members section of your group. However, many of you reported that after April the information displayed here was no longer correct (as you have moved, changed your name or had a birthday), or, you simply just didn’t want it to show at all, but were unable to edit these fields.

*= screenshot shows member page in “Expanded” view

Starting today, this feature will no longer be visible to group members or moderators as we are removing it altogether. Instead, when viewing the membership page, you’ll notice that only the user’s ID (or alias), status icon, message link, and the edit icon appear. (See screenshot* below for example)

*= screenshot shows member page in “Expanded” view

This feature will not be gone for forever, as we’re working internally to ensure that the information revealed is both correct, and what you want to share.

If you’re a moderator who previously used this information to verify a group member’s age, you will no longer be able to do this by glancing at your membership list. However, you will be able to click on a user’s name and will be taken directly to that user’s profile (if they’ve opted to make their profile public).

It’s important to note that as a moderator you will never be asked to verify a user’s age (especially if you’re running an adult group and wish to ensure that people under the age of 18 are not attempting to join). This “check” is done automatically by Yahoo’s systems: if someone is under the age of 18, they will not be able to access a site that is intended for mature audiences.

But if you’re simply looking for a way to keep up with your members, and, learn a bit more about your group members, you have a few options:

Request that group members have a “public” and complete profile when attempting to join your group

Create a file that is sent out to all new members, asking them to provide additional information about themselves

Add the “Group Profile” application to your group. (To do this, you must be a moderator or owner.)

To add this application, click on “Applications” in the left hand column of your group (1).

Then, click “Browse Applications” (2)

Locate“Group Profile” (3) from the list and click “Add” (4).

When the pop-up appears, give the application a name and description (5) and click “OK” (6).

Once your description has been saved, you’ll be taken back to the Add/Remove Applications page. From here, click on the “Group Profile” link** to be taken to your new application (7).

**= If you changed the name of the application in step 5, that name will display instead of “Group Profile.”

Here you can either click “Add Entry” (8) to begin adding your information into the preset form, or, you can click on the “Settings” page to begin customizing the fields for your group’s profile (9).

We know this is an important feature for many group members and moderators and assure you that this feature is not gone forever! We will be sure to update you here as soon as the member detail feature returns.

Recently, we introduced the new attachment beta to a handful of Yahoo! Groups. Based off of the feedback we received from these group members and moderators (and from other members and moderators who weren’t part of the initial beta who wanted to be) we’ve decided to roll out this feature to all groups, beginning today!

This feature will gradually become available in all Yahoo! Groups over the next couple of weeks, so be on the look out for this great new option.

Not sure if your group has the new attachment feature enabled? In the left hand column, under the “Messages” section, beneath “Post,” if you see “Attachments,” your group is ready to go. Don’t see this link? Your group doesn’t have this feature enabled just yet, but should see it soon.

Additionally, if you participated in the attachment beta, we’re happy to let you know that we’ve pushed out a bug fix that now shows an attachment thumbnail instead of the “Attachment: Attachment Name” format that previously appeared.

This new update should make it easier for you to preview and manage your attachments, and view the content that matters most to you.

For those of you who do have this new feature enabled in your groups, here’s a quick walk-through of the new options/differences.

To access these new options and change your preferences, you must be a moderator or owner of an enabled group.

To get started, click on “Management” in the left hand column of your group. Then, under the “Group Settings” section, click on “Messages” and under “Posting and Archives” click “Edit” and scroll down to “Attachments.”

Here, you’ll see a third Attachment option: “Store on site (exclude from emails)”

This new feature allows for attachments to be stored on the groups site instead of being sent out in emails. This allows for digest users to review/receive the attachments, and, makes it easier to retrieve specific attachments long after a thread has died as they’re accessible in the “Attachments” link in the left hand column. Attachments share data space with photos, so you now have 100 gigs of storage.

If you wish to continue to receive attachments via email, your settings should be set to “Include in emails (exclude from site)”

The third option is to exclude attachments all together.

If your group has this new feature enabled, please share your thoughts in the comment section below. Thanks!

First off, thank you to all of you who expressed an interest in the attachment beta. The interest in this feature was overwhelming, and we’re adding groups on a regular basis, so if you signed up but don’t see the “attachment” link in the left hand column yet, don’t worry– we’re enabling new groups every day, so yours will probably be next!

Beta Testers : We look forward to hearing your feedback about the new feature, and know that a few of you have already begun to share your thoughts and test it out in some of the Groups about Groups, and in your own groups. Please feel free to share your thoughts—both good and bad—in the Y! Groups Attachment Beta Group. Email your thoughts to: ygattachmentbeta [at] yahoogroups [dot] com

Missing Attachment Link: While a handful of you actively test out this new feature, a few of you may have come across a bit of a bug: if you’re not part of the beta, when you upload an attachment to your Group, you may still see the “Attachments: (to view, click Attachments under left navigation bar)” message. Feel free to ignore this message, and access your attachment as you normally would—this is a bug that relates back to the new attachment beta we’re testing, and are working to fix it. We should have a patch out within the next two weeks and thank you for your patience!

We’re happy to announce that over the next few weeks, Yahoo! Groups will be releasing a beta version of an attachment tool that gives moderators the ability to archive/store email attachments in Groups (removed 2003). This will allow your group members to retrieve attachments along with the original message at any time and not have to store them on their computers.

This feature will be released over the coming weeks, and will include features like:

* Adds valuable content to the group archive accessible by current/future users
* Enables users to upload content (photos, files etc.) with an email vs. having to upload each file
* Reduces the size of emails, optimal for low bandwidth, dial-up users
* Enables digest and web only members to have access to attachments

Please keep in mind that this new feature is still in early beta, which means:

* You can expect to see bugs
* You can expect to see missing features and usability problems

* You can expect down time and even the removal of the feature (if it turns out there are unforeseen technical problems)

Not sure if your Group has been migrated over? Check the left-hand navigation for an "Attachments" link (it should be a sub-category of "Messages"). If it’s there, your Group has already been migrated over. If it’s not there, don’t worry, it will be soon!

If your Group has been migrated over and you’d like to share your thoughts, please feel free to send a message to: EmailAttachmentsBeta [at] yahoogroups [dot] com

We look forward to hearing about how you like this feature and what we can do to make it even better.

If you decide you do not want to archive your messages, and you’re the Moderator of your Group, you can disable this feature by clicking on “Management” in the left column, and then clicking on “Messages” under the Group Settings section. From here, under the “Posting and Archives” section you’ll be able to set your attachment options back to your previously configured settings.

Please note: for those of you who haven’t been migrated over, when you send a message with an attachment you might be seeing a message reading: “Attachments: (To view, click Attachments under left navigation bar),” but no link exists.

Please feel free to disregard this message as this is a bug which will be resolved in the coming week and is a result of the roll-out. Thanks for your patience.

Best,
