Groups Message Search Update

First off, thank you to all of you who have been affected by this issue and have waited patiently while our team works to resolve the problem.  We have been working hard to complete a new, more powerful and scalable search system (rather than simply patching the old system as we had done in the past), which is why this fix has taken longer to complete.

But, we’re happy to let you know that the team is in the final stages of QA-ing the new system (checking for bugs, testing for stability, etc.); and if all goes well, we should be able to start switching over affected groups in the next 2 weeks.

Eventually all groups will be switched over to this new system, but since we don’t the capacity to move all groups to the new system immediately (there are more than 5 billion messages and 40 terabytes of data to index!), we want to first address the groups who are having message search problems.

If the search bug has impacted your group and you’d like to ensure that it is on the list for migration, please click on the link below.

(Note: If you have already reported the problem to Customer Care, it is not necessary to do so again. We have your information already. On the other hand, reporting the problem a second time won’t hurt either, so if your group is having search issues and you’re not sure absolutely sure it has been reported, go ahead and complete the form).

This link will take you to a site where you’ll be asked to provide:

  • The email address of your Group (this is listed at the bottom of the home page of the group in the list of group email addresses—so, if you were the Moderator for Moderator Central, you’d enter moderatorcentral@yahoogroups.com).
    NOTE: If this issue affects more than one of your groups, please enter each group address on a separate line in the form.
  • Your role within the Group (Member, Moderator, Owner, none)
  • Your email address (please use the email address that you have registered with Yahoo! Groups–if you have multiple email addresses registered with Yahoo! Groups, please enter them all.)

If you have already reported your group’s search issue to Customer Care, remember that you do not need to fill out this form.

If your group is not currently experiencing search issues, please do not fill out the form.

Your group will be migrated over to this new system in the near future, but in the meantime, we want to ensure that all impacted groups are taken care of before we begin migrating over groups that are not having any search problems.

    Interesting.

    So in round terms, over the 10 million groups there’s an average of 500 messages of 8 kilobytes each. I’m not sure if I would have guessed higher or lower. I think I would have guessed smaller messages, that must be the pernicious influence of HTML mail bloating the average.

    I’d guess the groups that request early switchover will tend to be above average in total storage, if for no other reason than that active groups are more likely to have more members that might notice and report a problem with searching.

    What’s the old saying/curse? “May you live in interesting times”? Let’s then hope for a boring switchover to the new search engine.

    The number of groups was cited on this blog as about 9 million back in August, so I rounded up a bit. 5 billion messages, 40 terabytes cited above. All very round numbers to be sure.

    There is a long delay between when I post a message and when it gets distributed and appears on the group page. Based on the comments above from Ruthie and Leandro, it seems like the system is clogged up.

    Posted messages not appearing. Pending notices not being sent. Searches are bombing/erroring out. Files, Links, Database areas all “unavailable” and the homepages are showing “no activity” (including GroupsLabs: ” (Message archives are not currently available”). It’s system-wide and I hope they’re aware and working on it.

    Thank heavens for this thread. I’ve been thinking I’d lost my mind. I’ve sent messages to my group from various addresses and even posted directly from the web site but so far, nothing has got through. I’ve been using Yahoo! Groups for a long time and this is the first real problem I’ve had. It’s a pity that it’s such a big one. ;(

    In a group that I’ve been in for several years now, suddenly several months ago now, I was unable to receive messages from certain members. First it was one, then, two, it is now four members I believe. I have to go to the group’s home page to read their email.

    This search issue was NOT affecting my group, however, since this post I have been having search issues within my group. I filed a report today and look forward to the search issue resolving. I thought that the issue would be resolved March 31st. It appears to necessitate more time. Thank you for working on the problem.

    Hi,

    Very strange. I was able to post a test message to the group and have it published and listed. However the message I wish to send gets an error message across different browsers. I’ve checked format issues etc, there is no problem with the message and I’m wondering if it’s being censored at this point.

    Although your post is off topic to this thread (about updating of the Groups message archive search feature), I’ll give you my opinion:

    As a moderator of a fairly large group which is actively and conscientiously moderated, I find the Comment field (part of the Join form to be filled in by prospective new members of a Group) a time-saving feature which helps to quickly weed out many frivolous and malicious applicants (e. g. spammers, etc.). There is a line on my Group’s homepage asking applicants to put something relevant in the Comment field. Any applicants who enter garbage or generic fluff (”I likee join this group!”, etc.) are subject to instant rejection. Those submitting blank or unclear Comments may or may not be sent a request for additional information (from a Yahoo Mail account used solely for this purpose), depending on whether I feel like spending the time.

    I hope this problem gets solved quickly, as this has been hurting me for over a month now. We have a limit on how many posting a person makes per month (to keep people from offering a “service” or “for sale item” multiple times per week). Without the search capability I cannot properly moderate the group and people are beginning to take advantage.

    I just submitted my group to the link listed. I am having many of my members saying that they don’t have the messages posted on my home page so they can see them and reply if they want to. Is this part of the problem that is supposed to be fixed? I sure hope so! Cause my members are NOT HAPPY!! that they can’t see what’s going on and post to my site.     If Yahoo groups ever wanted to be the best they could be they would emulate the groups on care2.com as their group setup is truly amazing. I don’t care for management there but the group system is absolutely the best on the entire Internet. Unfortunately care2 management doesn’t appreciate how well the original engineers set their group system up and keeps trying to hide the groups by making it difficult for newcomers on the site to find them which makes no sense whatsoever. Anyway, Yahoo should check out the care2 group system and either work out licensing or buying it as it really eclipses the Yahoo setup.

    Melissia Daniels: Are you paying any attention to my messages? I have been submitting the problems to Customer Care, filing out all the forms and still no response on the problems of my members NOT getting their messages seen and being able to post, send and reply on my Home page. Also, I have been asking, and pleading for the ‘insert icon’ on the Rich-Text Beta toolbar on the message page, so I can utilize my pics I have on my PC and gifs. to keep my members informed and fresh, and also this option on the Home Page, so I can keep my members updated and post more than one picture on the Home Page.     No– this is not what this link is for. As the post states, this link is for groups that are having search issues. The link above (in the post) will not help you/your issue. Your issue sounds like a posting issue which should be reported to Customer Care. (http://help.yahoo.com/l/us/yahoo/groups/original/members/forms/general.html)

    Additionally, if your group members are having the issues THEY should be reporting the issue, not you, as they’ll be able to provide more information about their system configuration/computer/experience than you would as a third party.

    Yahoo Groups question. Our group had gotten quite large and so we thought we could temporarily close the membership. After we did this we found out that we could not re-open it that it was closed permanently. This should be noted as when a person opens a group to let them be aware of this. Are you going to change this so a group can re-open their membership?

    The search seems to work off and on for my Days Of Our Lives group. When it doesn’t work I have to access the information I want by going through the management section which is a pain as it entails extra steps but at least it functions. Hope this malfunction can be fixed once and for all.

    Actually, it does say this– in red letters, under the Management > Membership settings.

    “Closed (only invited members can join) If you select this option, web tools that were previously set to “public” will be restricted to members only. Once you have selected this option, you may not change it later.”

    At this time this feature is not reversible but I’ll be sure to pass on your suggestion. In the future, it’s best to change your group to “Restricted” and deny any future membership requests/not invite any new members rather than Closing the group all together.

    My Message Search Problems were reported, in full, several times! I thought my Group, Animation Addicts, had been FINALLY migrated to the Update. Sorry, I’m not yelling, all caps is the only way I know how to emphasize anything in these posts.

    My Group DID have it’s Attachments CHANGED so the Group’s email messages with Attachments all were shown only as Thumbnails. The Thumbnails linked to the Group’s Site, but EACH SET OF ATTACHMENTS showed everyone ONLY a Smaller version of the Attachment and the Smaller Version was a .JPG image!

    My Group is a Very Exclusive Group with limited membership because all Members must agree to the Very Strict and Enforced Rules.

    As the name implies, this Group shares Animations Only and Every Share must include a minimum of 5 Animations. Consequently, after I had changed the Default Setting back to including Attachments in the email, I had to go to Each Set of Attachments, edit Each Set to the Original Setting (as a .GIF image) and save the GIF files to individual folders (per the name of the email) on my Desktop. Then, I moved all of those folders to one new folder, zipped it, and sent the zipped file to the Group, in case anyone had inadvertently saved the then “default” settings, .JPG images.

    I also checked the Member’s settings to make sure they were still set at Traditional. I had been told, not thru this Blog, unfortunately, that Yahoo Group’s FIX not only had changed the Group Default Setting for Attachments, but now used their new Default settings rather than continuing to give Members, Moderators/Owners the option to continue to use the Traditional settings.

    During that whole process of changing the Default Setting and saving all of the Attachments which had been stored on the Group’s Site, my Yahoo ID kept changing back and forth from my Current ID to my ORIGINAL Yahoo ID, which I have NOT used for a very long time. However, I never deleted the Original ID because Yahoo Group’s Customer Care had told me that would DELETE BOTH of my Yahoo ID’s. They also informed me I would have to send personally identifying information to them using NON-SECURE email, which I refused to do, to remove just the Old ID.

    These new problems were sent to Yahoo Customer Care, using their form, but I DO NOT believe that was ever received by them, which is why I’m explaining the new problems in such detail in this thread.

    After sending the new report to Customer Care, I did a sample search for “between” select dates on my Group. The sample search seemed to be working, with the only problem I found being that apparently the FIX still did NOT include a fix for the problem that Messages I had deleted were still showing up in the Search Results. THAT is what I attempted to update on this thread. It took me several attempts to get a message to post on this Blog, only to now discover that post DID NOT appear on the Blog!

    I just attempted to do an Advanced Search from between April 12th and April 18th (the week for this Group) and the Advanced Search DID NOT work at all. I normally use that Advanced Search every week to count the shares by each Group Member. I have NOT been able to use it for way too long and have to manually count each Member’s shares for the previous week Manually from my Email.

    I will, once again, report the Search Problems on the link provided to do that, as I have now done many times!

    I first wanted to attempt, again, to post to this thread so everyone would be aware of the new problems with Yahoo’s Groups.

    Also, I wanted to express my regret that we were NOT given notification by Yahoo or by the y_groups_team of the change in the Default settings that all Attachments were being Changed to Save to the Group Site!

The members receive the reply mail but the reply text is not visisble, only the text the mebmer is replying at is shown. What can be the problem and what to do about it?

    I am a member of two Yahoo groups where the searching does not work at all. How much longer until this is fixed? I have posted multiple times in the group, but when I do a search for my name it returns no results. I have searched for practically every word imaginable and it returns nothing.

    Very strange. I was able to post a test message to the group and have it published and listed. However the message I wish to send gets an error message across different browsers. I’ve checked format issues etc, there is no problem with the message and I’m wondering if it’s being censored at this point.

    My problem is the same as kitkat’s. All of my very old posts (from 2001) show up when I do a search, but nothing in the last few years. This happens when I do a basic search, or an advanced search with date after March 2009 and then I put a word in the subject field that I know is there. But nothing is returned.

    I’m not receiving notices that someone has posted, nor are my members receiving theirs. Several posts go by un noticed, and people want to know when this is going to be fixed.
    It’s very frustrating when you have people in your group thinking you’re ignoring them.

    Can someone from Yahoo please post here with a time frame for getting the search issue resolved. I have posted my details highlighting my groups problems, but this stony silence is really frustrating.

    Customer service should be your priority right now. If you’re having problems just tell us, we can handle it. Just give us a ball park – a week? a month? year end?

    Ignoring requests for information ultimately drives people to non Yahoo groups, which in this economic climate is not something to be taken lightly.

    Actually, we have updated the three more recent posts about this issue (including a new post that went up on Friday that includes timing: http://www.ygroupsblog.com/blog/2009/05/08/groups-update-attachment-feature-and-message-search/ )

    These other posts all have updates on when this fix will be pushed out (middle of May). As a heads up, we do continually update users on pertinent issues (like this) and usually use naming conventions like “UPDATE: topic name here”

    Can you please send an update to members re: when the search migration will take place? It’s May. Seattle Freecycle has been reported several times and March results are still coming up. I’ve gone from checking a couple times a day to an occassional user simply because I can’t search for my neighborhood.     I think the search function it does not work in this group. How is it possible that I am looking for a bed, appears all the messages with the header which contains bed and then when I open the message I only can see a car sale. For ex.     I was not aware of Yahoo transferring Group sites! Whats the deal? I just went through this mess with MSN Groups and lost the Group I had for 9 years. Why the mad rush for transferring all this Giga-Ziga-Trigabyte sites.
    Just Unblock the Link only copy features to the groups so we can copy and save our own Groups and the mess may resolve itself so we can copy it back when the Group system is set up.

    I lost everything I had on MSN by Copying everything because it only allowed me to get Links to the stuff I tried to copy.

    What happened to the CA stations in under Local Radio by Region. It’s no longer working as of today June 9, 2009. It has been working all week. Thinking I did something wrong, a sprint salesman’s instinct shows the same problem when I went to a local store in Daly City CA. When I choose the west region, I get mostly Denver and Arizona stations. Also stations from Seattle. What gives?

    Our board of directors uses this group for all our communications and storage of files that need to be shared by the board.

    None of our files are currently available, none of our current or previous messages are visible, and the new post I just made is not visible either.

    For all practical purposes, everything on our site has been lost, other than the members.

    I am hoping and praying this info is recoverable and this issue is VERY temporary.

    On March 16, 2009 Yahoo Groups promised that the problem with the internal search engine would be fixed in ***two weeks.***
    It’s three months now and the problem continues.
    Now added to this – and to encoding language problems going back to February – the message archives can only be searched for message by message rather than page by page.
    Group owners and members deserve more consideration and better treatment than this.

    To hell with this! Whoever is responsible to unsubscribe my email address, I would sincerely appreciate it being done so as quickly as possible… 95 percent of the posts received will NOT open! I’ve been using computers for over 30 years and NOTHING I’ve learned over the years works to get the files to open!

    How much longer? I don’t know how much more patience our members have. Some of the moderators and members are already looking for alternative sites. Not having the search function has disabled our members from searching how to say things in another language–which is one of the primary ways that language groups function. Without some end of the problem in sight, I see no other option but to start closing down some of the Yahoo groups dedicated to language aquisition and begin to transition them to an operable site.

    In brilliantbelievers@yahoogroups.com there is a temporary freeze each time a message is sent. It takes double the amount of time to post a message if you are a moderator

    When previewing messages before they are sent, the words are stretched out many times the normal length,so that one has to scroll from one end of the page to the next.

    Dear Melissa,
    Speaking for the my Group as the de-facto owner….
    It is painfully obvious we have not been ‘migrated’ as yet — a search for a unique word that was posted in just the last several days, jumps over that post (AND follow-up replies) to deliver results from years ago; or similarly, reports nothing found on common words posted several times in the past couple of days. Due to the technical nature of our archived subject matter we severely need a functioning Search capability – but the existing Search function is an absolute wreck!

    Your blog-post here, dated March 17 states “…we should be able to start switching over affected groups in the next 2 weeks.” It has now been some 4+ months or ~18 weeks. What may we expect by way of fulfilment of this project’s goal?

    This is an ongoing issue and is not a small, quick fix solution, which is why this issue has spanned months instead of weeks.

    There are a lot of groups which are no longer active. Such groups can be deleted to ease the problem of clogging.

    There are quite a few groups established just to get the name registered. There is hardly any activity in such groups. Those too can be done away with to lessen the crowding.

    Yahoo pretty much invented Internet search, or at least popularized it years before anyone ever heard of “Google.” How sad is it that the company that pretty much invented search can’t do a better job than this!?

    A few years ago, I tried desperately to contact a man named “Mo Rector” in the Barbershop Harmonet (bbshop) YahooGroup. He himself didn’t post there, but I’d hoped to find someone who knew him and could pass an Email to him.

    Unfortunately, Yahoo’s groups message search was so lame that it would take a query like “Mo Rector” (with or without quotes) and give me every post containing EITHER of those words (case INsensitive!), even when part of another word! Now, “Mo Rector” itself isn’t a very common name, but the letters “mo” appear in a great many words: “MOre,” “MOst,” “MOvie,” “amMO,” etc. etc. etc., and especially important to Barbershop, “harMOny” — even the official name of the group itself: the “HarMOnet”! And “rector” is found in “diRECTOR,” another word very important to Barbershop (each Chorus has a Director), and thus found in a great many posts that had nothing to do with Mo Rector. Using his full name would return the UNION of BOTH sets, not just the intersection — an OR search of the two words and any word that contains either or both of them, NOT an AND search!

    Because of that, I was unable to contact Mr. Rector on a matter of vital importance to us both and to the hobby and art form we share, after months of trying. When, one Saturday morning, I signed on one more time to try again, one of the first messages I saw posted that day announced his tragic death in a traffic accident the night before.

    A major opportunity that would’ve greatly benefited our hobby and art form (one of a small handful of truly American art forms that exist) was lost forever, at least partly because of Yahoo’s lame search.

    I’m still miffed over that. Your programmers need to know that their incompetence isn’t just a matter of not writing reliable programming code. It’s not just techie stuff. And it’s not just business, either. Real people are affected (usually adversely), in real ways. Real lives.

Went through the messages and clicked on a link to a blog update listed in the messages above – and I get “sorry but the page you requested cannot be found” – they can’t even search their own blog messages!!!!!

    Yahoo -=—- you should seriously consider the stopping of new feature development and spend your resources fixing existing functionality that your customer base both uses AND relies on.     I just opened this new group on Yahoo after comparing groups from Yahoo, Google, and Bravenet. I’m very disappointed about this, and am considering switching to my second place choice, Google. I liked the fact that everything we needed was in the left column and easy to access, but we are going to have to be able to search our messages.

    My group is having the same problem. Yahoo has screwed up the message database so new messages are not being indexed or something. I know a little about databases and without knowing the schema I can only guess a separate table is used for keywords. The keywords table is no longer being updated or its index is broken. It’s really hard to say. I really hope they can figure it out and fix it before too many people leave the company. A friend of my just did, and they will miss him for sure.

    No– bing does not power groups search– it is a separate system.

    Additionally, the merger between Y! and MSFT hasn’t impacted search across the Y! network– any search service you use on Y! at this time is powered, built, and hosted by Y!.

    i’ve never had a problem before either. But I am concerned that your new system uses code ending in .exe which of course is executable only on a PC (and may in fact install a virus or trojan), while I use only a Mac which will not execute a .exe program. In the past, YahooGroups has been equally usable both to PC and to Mac users. If you have now made it usable only to PC users, you will lose a lot of users, including myself who has many yahoogroups.

    On two different days I’ve tried to post an offer of a stainless steel sink but it never shows up. I also posted a ‘wanted’ item and it doesn’t show either.

    Hope this bug works out.

    I do continue to receive a daily digest of info.

    Is this related to the current messages problem?
    Because I’m trying to send messages to my group and they don’t appear in the Messages section and they are not being sent.
    There is a long delay between when I post a message and when it gets distributed and appears on the group page. it seems like the system is clogged up.
    Posted messages not appearing. Pending notices not being sent. Searches are bombing/erroring out. Files, Links, Database areas all “unavailable” and the homepages are showing “no activity” (including GroupsLabs: ” (Message archives are not currently available”). It’s system-wide and I hope they’re aware and working on it.

    Thank heavens for this thread. I’ve been thinking I’d lost my mind. I’ve sent messages to my group from various addresses and even posted directly from the web site but so far, nothing has got through. I’ve been using Yahoo! Groups for a long time and this is the first real problem I’ve had. It’s a pity that it’s such a big one. ;(

    You can say Thank God I found this group all day long but does complaining to a blog god make any sense if no one is listening that can DO something about it.     If this new system has not been able to get to a working mode for half a year, it seems like the old system was better. It always WORKED for me!

    Could you please give an update on the solution to the Group Search problem.

    This problem began in March 2009.

    I belong to 4 groups. I cannot search anything since March 9th-16th, 2009, depending on which of the 4 groups, I try to search.

    This blog was started on March 17, 2009.

    It is now October 24, 2009

    This problem has been ongoing for over 7 months now. When will the problem be fixed…. or as you say “migrated” to the working system?

    Why would it take 7 months or longer to fix the problem?

    I have been having trouble seeing the Pics, that are ATTACHMENTS !!!…..

    Well, it was on March 17th that Yahoo posted that the new Message Search was in the final stages and would be rolled out in a couple days. Now it’s November 20th, more than eight months later, and there’s still no sign of the new message search system. How totally Yahoo!

The search functionality is STILL BROKEN. Our users rely on being able to search the group’s message archive for help with whatever problem they’re having and they can’t find their answers because no search ever returns a message newer than March 11, 2009!!

    Today is November 20, 2009!!

    That’s *EIGHT MONTHS WORTH* of helpful information they cannot search!!

    WHEN the HECK is this issue ever going to be fixed?!
