Beta Release: Storing Email Attachments
We’re happy to announce that over the next few weeks, Yahoo! Groups will be releasing a beta version of an attachment tool that gives moderators the ability to archive/store email attachments in Groups (removed 2003). This will allow your group members to retrieve attachments along with the original message at any time and not have to store them on their computers.
This feature will be released over the coming weeks, and will include features like:
* Adds valuable content to the group archive accessible by current/future users
* Enables users to upload content (photos, files etc.) with an email vs. having to upload each file
* Reduces the size of emails, optimal for low bandwidth, dial-up users
* Enables digest and web only members to have access to attachments
Please keep in mind that this new feature is still in early beta, which means:
* You can expect to see bugs
* You can expect to see missing features and usability problems
* You can expect down time and even the removal of the feature (if it turns out there are unforeseen technical problems)
Not sure if your Group has been migrated over? Check the left-hand navigation for an "Attachments" link (it should be a sub-category of "Messages"). If it’s there, your Group has already been migrated over. If it’s not there, don’t worry, it will be soon!
If your Group has been migrated over and you’d like to share your thoughts, please feel free to send a message to: EmailAttachmentsBeta [at] yahoogroups [dot] com
We look forward to hearing about how you like this feature and what we can do to make it even better.
If you decide you do not want to archive your messages, and you’re the Moderator of your Group, you can disable this feature by clicking on “Management” in the left column, and then clicking on “Messages” under the Group Settings section. From here, under the “Posting and Archives” section you’ll be able to set your attachment options back to your previously configured settings.
Please note: for those of you who haven’t been migrated over, when you send a message with an attachment you might be seeing a message reading: “Attachments: (To view, click Attachments under left navigation bar),” but no link exists.
Please feel free to disregard this message as this is a bug which will be resolved in the coming week and is a result of the roll-out. Thanks for your patience.
Best,
Melissa Daniels

Thanks if you want to keep file inside email attachment in your server again. Very useful for member who only access to your mailing list using web interface, and for other member while on the road, leaving the archive email on his/her computer at home/office.
Currently we open our mailing list archives to the public, so all yahoogroups.com visitor could read our mailing list archives without needed to become our mailing list member.
But is it possible to give special permission to access this email attachment in the future?
For example, while non mailing list member could read our email archives, as long as they do not become our mailing list member, they cannot access to file inside email attachment.
In our opinion, maybe this option could have some benefit in your system, to reduce the massive download from our mailing list from non-member/public visitor.
Thanks for your comments later, if any.

I signed our group up for this last night and today embedded pictures are coming through just fine but I sent a test message (from OE) with a small photo file as an attachment and this not work so well!! There was a box saying “attachment” and udnrneath it said to view the attchment click on View Attachment under left navigation bar – the only problem I could not find that link anywhere on the page! I know some people like embedded pictures better – but they are also a pain when they are not deleted from replies and they are sent over and over again. We have had to warn group members that anyone who persists on doing this will be set to moderated status. I use attachments because I write mail in plain text.

Since last evening (Feb. 11), my site has been having problems. Posts are not posting, my database has been lost, and the links section is down, getting an error message of “Invalid list ID.” I was in the middle of re-organizing links when it went down, had ‘cut’ a number to be pasted into another folder, and now those cut ones are trapped in limbo and will be deleted in 24 hours, and I cannot access them.
I am disappointed that Yahoo Admin has not yet acknowledged any problem, nor did you inform us that you would be working on the site, so that we would not attempt our own maintenance work at this time. This happens far too often, leaving group owners out of the loop when problems are occurring!

We are unable to post messages from our group site. I disabled the attachments but it hasn’t helped. I’m assuming this is because of the attachment tool being started. When can we expect to be able to receive messages via our groups? My members are most distressed.

There is a definite problem! NO posts are showing up on the group. The ones that I do as list owner, the ones from unmoderated members, the ones that I approve. The management section shows they have been posted and/or approved but they are not on the group and have not shown up in my mailbox either.
I have also tried resetting everything as directed by your front page here, but it doesn’t make any difference. So it seems there is nothing I can do to go back to normal. This change is not something that my group will operate well with anyway. Members use this group as a way to communicate within our community locally and are upset by suddenly not being able to communicate.
How long is this going to go on?

At this time, we haven’t seen a lot of reports about this, but definitely report it to Customer Care. (http://help.yahoo.com/l/us/yahoo/groups/original/members/forms/general.html;_ylt=AnwuwYXFZs0FlUAYOWTReZoACXdG?from_url=http://help.yahoo.com/l/us/yahoo/groups/original/members/basics/basics-04.html;_ylt=AvDDszxhQhbaOQab6IM2hkrxliR4) Reporting an issue to Customer Care puts it into an issue queue and lets our teams know that there’s a potential issue on the site. It’s great to let us know here, but your best resource (and the plan of action you should always take) is to report it to Customer Care.
Once it’s been reported (be sure to provide as much information about the issue as you can), our team can take a better look at the problem and work to resolve it.
If you still have trouble, come back here and I’ll see what I can do. Sorry I can’t be of more help right now!

I went into the settings for “archive attachments in the group” and beside that it says to remove attachments from emails.
So I gander that those on Individuals Emails would no longer receive attachments, and would have to go on NO MAIL to receive these attachments?
Then I do not feel this is a good idea?
I just went and turned this feature off now, as I do not want members on Individual Emails to lose the opportunity to still receive attachments in their email.
Please elaborate, as for a moment I felt it was a good idea for those on No mail.

Here we go again, yes, I have many members upset, I have some that are blind, and depend of receiving attachments
With the new options that are offered, I see this is to be of no help for other members.
WHY, could you not have added one other option :::
Store at site ( Include in emails ) ????
This would take us back to being close to what it was several years ago, before the site storage was taken away from us.
These options will be of no help for any one that needed to stay on no mail, or digest …
I have to consider all members of my groups..
Please, think of this 4th option that I make mention of..
Meanwhile, I am having to change my groups back over to the old settings :O(
Dan said,

This new “feature” is not an improvement. I have to echo paw_paw’s statement above that there needs to be a 4th option, to store at site and include in emails. If I store on site, the emails become almost worthless, forcing members to click on each individual attachment to view them.
Also, viewing messages on the web site and wanting to see the attachments is much more difficult. If I’m in a message, there should be a direct link to the attachment or, at the very least, a link into the folder that contains the attachments for that message. If I have to read a message and then sort through a lot of attachment folders to find what I need, that’s a waste of time.
So, I’ve turned off the feature on my groups. I hope some improvements can be made to the system before it’s out of beta, else I know I won’t use it.

Reading back through this, if I am reading correctly ??
Does this mean, if I should have chosen this option, that my messages are open to public view, even though, I require membership, to read them, let alone access the archived files ???

@Paw_Paw,
Thanks for your suggestion for a fourth option– I’ll be sure to pass it along. I appreciate you providing such a compelling use-case (blind members) as we want to be sure to provide an equally enjoyable experience for ALL members.
In regards to your second comment, the short answer is no.
If your content is set to private, it will remain private. Hope this helps!

@Dan,
I have to disagree, just a bit with your comment (though I do appreciate you sharing). The new attachment feature doesn’t make all emails useless– in fact it actually makes things better for people who had previously set their preferences to receive only the daily digest (daily digest users don’t have access to attachments without this feature). Instead, this feature creates “equal access” to attachments for all users– storing them on the site irregardless of their email preferences.
As far as the second portion of your comment goes (navigating outside of the message) I’ll be sure to share the feedback with the team.
Thanks for commenting!

Thank You for Responding Melissa
I do admit, that I did like , to a certain degree, just receiving a link to download from, since at this time I am on satellite, and limited bandwidth, but in all fairness to all members concerned, some found it more difficult, no easy organization of the stored files Etc.
I know, that the reading programs, that the handicaped members I have , use, they are able to download the attachments when they receive them in mail, but can not, by trying to click on links or going to the group site and trying to find the files, etc.
And at the same time, others, need to stay on digest, or no mail, a lot of the time, and then miss out on so much that has been posted to the groups.
Yes, it is difficult at times, but we do try to take care of all our members..;O)
I truly hope that the fourth option can be added.
I remember so well, in the old format, being able to go to the group site, there was a list of all messages, just click on one, it opened, then there was the attachment, to click on and download, if you so desired, that was so easy ..( hint hint ) :O)
Thanks so Much
Paw Paw
P.S. , thanks for answering the question on the open files :O)

I greatly prefer to receive my email attachments directly rather than be required to login to the Yahoo group to see the attachment. Is this a moderator setting? Years ago, the attachments were included as well as archived in the group; is this what the Beta is supposed to accomplish?
jay vinton said,
February 24, 2009 @ 8:33 am
to summarize what I think people are reporting with regard to the new attachments feature:
1. those who are receiving individual emails are seeing a link at the bottom of the email that goes to the attachment in the email I sent to gmf, now stored in yahoo’s gmf attachments archive.
2. that is the same as what I see in my daily gmf digest, a link to the attachment in the gmf attachments archive.
3. but the/my email in the gmf message archive is missing a clickable link to the attachment. Instead one has to click on the attachments archive link on the left side of the page, and go find the attachment. Easy when there’s only one
, won’t be so easy when there are thousands.
Yahoo should add the direct attachment link to the messages in the archives, the same as in cases 1. and 2. above.

@Jay
Thanks for the suggestion/feedback! I/we appreciate it. Great points.
As it stands, any attachments that are sent in the same message are put into a folder together, but these are not grouped by thread. (Meaning if four people responded to topic A, and all four people included attachments, separate folders would appear for A1, A2, A3, and A4 and they would not nest beneath each other.) Nesting within the attachments section would make it easier to sort through these attachments once they accumulate, and linking within the messages would also make it easier to access.

The attachment feature is not a retroactive feature– your past attachments will not appear in the folders– however, all future attachments you send out will be stored there, should you choose to use this feature.
I hope this helps clarify things.

At last! We are a technical forum, and often our messages have attached diagrams, schematics, or photos tha are necessary. Our forum was greatly made less useful when the attachment storage was removed six years ago.
I would hope that both storage and including in the initial e-mail simultaneously would be available. We sure hope the new system works!

It’s kinda hard to download the attachments with this new arrangement (the attachments archived on site), unlike if the attachments were included in the emails. But then again, if you sent it out with the emails, you can’t have them archived.
If it’s archived as well as sent out, that will probably defeat the purpose for which this feature was introduced in the first place since its design was to reduce bandwidth usage, plus it’ll eat up Yahoo’s storage resources.
IMHO, the best thing to do is to let the group members, not the group owners, choose the setting that would be applicable to them. That’s the only option that would cater to the needs of most people.
Just my 2 cents worth…

It sounds like a lot of people aren’t happy about learning new tricks. Perhaps most of their difficulties are the result on not knowing how to use their computers. I think most of us are self taught and this leads to large knowledge gaps in how we understand how our computer programs work
I too struggle, but at least make an attempt to understand how and why changes occur.
